About the Inspector Portal


The Inspector Portal is your company's private, internal workspace for building and managing a single inspection report.

It is essential to understand that each inspection you create gets its own dedicated Inspector Portal. This is the "back-end" editing environment for that specific job, and it is visible only to you and your company's employees.

This is the direct counterpart to the Client Portal. Think of it this way:

  • Inspector Portal: The private, back-end where you build and edit the report for "123 Main St."

  • Client Portal: The published, front-end that your client views for "123 Main St."


Key Functions of an Inspection's Portal


When you open the Inspector Portal for a specific job, you get all the tools needed to manage that inspection from start to finish:

  • Enter Report Data: Add all property details, client/agent information, and inspection times.

  • Write Findings: This is the main report-writing area. You'll add your findings, select narratives from your library, and upload photos/videos.

  • Edit System Information: Fill out the non-defect details (e.g., roof type, furnace model).

  • Manage Reinspections: Update the original findings with repair statuses and notes.

Every inspection will have its own unique Inspector Portal, serving as the complete command center for that specific report.

A Flexible, Modern Database


InspectorPrime is a flexible database, not a spreadsheet. You don't have to fill out every field. You only fill out what's relevant for the inspection you're doing. Anything you leave blank won't show up in the final report as long as you have the appropriate visibility settings in place for each field.

This keeps reports clean and easy to read, and it means you don't have to make a bunch of different templates for different situations. One setup can cover a lot of ground.

The "Field Notes First" Method (For Off-Site Completion)


If you prefer to work quickly on-site and finalize the report later, this method is for you. The Field Notes feature on your tablet or phone allows you to rapidly capture photos and raw observations. This content is for your eyes only and is never seen by the client.

Later, when you're ready to build the report, you'll find that our integrated AI is already at work. We've configured AI assistants to automatically analyze the media you upload and to define your raw field notes, giving you a significant head start on writing the final narratives. This workflow is also ideal for team inspections, allowing multiple inspectors to contribute raw findings to a central queue for report writer(s) to process.


The "Direct to Narrative" Method (For On-Site Completion)


If your goal is to complete the majority of your report while still at the property, this is your most direct path. You can bypass the "Field Notes" and work directly in the All Narratives page.

You can instantly apply narratives from your library, write custom findings, and build the full report live. This method gets the report client-ready by the time you leave the site.


2. AI-Powered, Inspector-Controlled


We have integrated powerful AI assistants into several components of the system to act as your co-pilot, saving you time on repetitive tasks. You'll find AI ready to help summarize your media or draft supplementary information for your clients.

However, you are always in control. This isn't a locked system. You can remove any AI feature that doesn't suit your process or add new ones where you see a need. More importantly, you have full control over the prompts that train each AI agent. This means you can fine-tune their output to perfectly match your company's specific voice, technical language, and reporting standards.


3. The Live Report: Real-Time Collaboration & On-Site Review


Unlike traditional software that requires you to "sync" or "upload" a report, your Inspector Portal is a live, dynamic workspace. This unlocks capabilities that other platforms cannot offer:

  • On-Site Client Walkthroughs: The Client Portal updates in real-time as you finalize your findings. This allows you to open the actual Client Portal on a tablet at the end of an inspection and confidently walk through the completed findings with your client. They see your finished report come to life as you work, without ever seeing your internal notes or draft views.

  • Real-Time Progress Tracking: As you work, your dashboards update instantly, giving you a clear picture of your progress without needing to manage a separate checklist.

  • Remote Team Collaboration: For teams, this live environment enables an unprecedented level of collaboration. A supervisor can log in from the office and see the report being built in real-time while you are still at the property. They can offer guidance, proofread narratives, or even assist with writing, providing a level of support and quality control that is simply not possible with other software.
